The Problem

A scheduling assistant that can\u2019t actually schedule isn\u2019t an assistant. Most AI tools can draft a “here are my availabilities” email, but they can\u2019t read your calendar or write a real event. The recruiter is left to do the actual scheduling work \u2014 copy availability, find a time, send the invite.

How It Works

Connect Google Calendar

Manager OAuths a dedicated mailbox for the AI worker. The same OAuth grants access to the mailbox’s Google Calendar.

Worker Reads Availability

Using calendar:read, the AI queries connected interviewer calendars to find slots matching candidate timezone and meeting duration.

AI Proposes via Approval Queue

Per the worker’s SOP, scheduling actions either auto-execute or route through the manager’s Approval Queue. AI drafts the full event with context.

Manager Approves, AI Writes the Event

On approval, the AI writes the calendar event with calendar:write. Invite goes to candidate and interviewer with the disclosure footer attached.

calendar:read tool queries free/busy across connected calendars. Finds slots that match candidate timezone and meeting duration.

Write Events with Approval

calendar:write tool creates calendar events with role context, candidate name, AI Skill Evaluation link, and the Zoom/Meet/Teams link.

Timezone Handling

AI normalizes candidate and interviewer timezones. Proposed times are always in the candidate’s local time — no ping-pong.

Conflict Detection

Proposed slots check for conflicts before routing to the Approval Queue. No double-booking, no last-minute shuffles.

Disclosure on Every Invite

Every calendar event description includes the mandatory AI disclosure footer. Candidates know they’re interacting with an AI worker.
